Purchase EPIC Membership before you register to receive member pricing, full access to year-round events, and online resources! EPIC Members are the heart of our organization and make our non-profit, volunteer-driven community possible. Non-members may also register at a higher rate.

*Regular Price: Choose this price if your fees will be paid or reimbursed, in whole or in part, by your organization or other funding agency.

**Discounted Price: Choose this price if your fees will not be paid or reimbursed, in whole or in part, by your organization or other funding agency.

***Student Price: Choose this price if you are enrolled in a graduate or undergraduate program at an accredited institution, and your annual income is less than US$50,000. You will be asked to provide a student ID or other proof of enrollment.

Financial Inclusion

The deadline for scholarship requests is May 23.

A limited number of discounts are available for individuals who face financial barriers to participation in EPIC2025 and whose conference registration fees will not be paid or reimbursed, in whole or in part, by your organization or other funding agency. We welcome discount requests for on-site conference registration or for an EPIC Membership, which includes access to the EPIC2025 livestream. We cannot offer funds to support travel expenses.

Discounts are prioritized for individuals who face financial barriers and:

• live and earn in countries where purchasing power parity is low compared with the United States and Finland, and especially in the Global South;
• are presenting in person at EPIC2025.

We also welcome your request if your situation does not align with these priorities.

Please complete this form by May 23, 2025. We will get back to you about your discount request by June 4, 2025. If you need a visa letter prior to that, or have any questions at all, please email Laura Schroeder, registration@epicpeople.org.

EPIC is a 501(c)3 nonprofit organization. The conference does not yield a profit and discounts are made possible by our organizational sponsors and individual donors. We may not be able to support everyone who makes a request, but strive to support as many people as possible.

Terms & Conditions

EPIC is a 501(c)3 nonprofit organization powered by members and volunteers. Conference fees and sponsorship do not cover all of our expenses, and organizing events carries financial risk. Our constant goal is to make our policies as fair and ethical as possible (we kind of agonize over it), and we hope you will understand them in this light.

Refund Policy

• EPIC membership and donations are non-refundable. If you need to cancel registration to attend EPIC2025 in Helsinki, you will retain your membership, which includes access to Learning Week and the EPIC2025 livestream.
• Conference pricing is based on your membership status at the time of registration. If you become an EPIC member after registering at the non-member rate, you will not receive a refund for the difference in price.
• You may cancel conference registration and conference dinner tickets for a full refund, less a 15% service charge, through July 31. No refunds will be available thereafter, but you may transfer your registration and/or dinner tickets to someone else through August 31. If there is a waiting list for registration, we may be able to facilitate the transfer and reimbursement for you.
• Please note that cancellations made more than 60 days after your registration date may not be refunded to the original payment method and may take 30–60 days to refund via check or ACH.

Transfers

• • You may make arrangements to transfer your conference registration and/or conference dinner tickets to someone else. You must notify us of the transfer by August 31 to ensure the transferee can gain access.
  • If there is a waitlist and we are able to arrange a transfer for you, we will issue a refund for the ticket(s) transferred, less a $30 service charge.
